Position Summary

The Chief of Staff/Executive Assistant to the CEO serves as a strategic advisor and operational partner to the CEO. This role is pivotal in ensuring the alignment of company goals, streamlining executive decision-making, and driving initiatives that improve operational efficiency across the organization. The ideal candidate is a proactive problem-solver with exceptional communication and organizational skills and a deep understanding of healthcare operations.


Key Responsibilities

  • Strategic Support: Act as a trusted advisor to the CEO, providing insights, recommendations, and strategic support. Assist in the development and implementation of strategic goals, ensuring alignment with organizational objectives. Conduct research, data analysis, and market assessments to support decision-making and strategic planning.
  • Operational Leadership: Manage high-priority projects, initiatives, and cross-functional collaborations on behalf of the CEO. Oversee and coordinate the execution of key action items, ensuring timelines and deliverables are met. Lead special projects, including process improvements, physician engagement initiatives, and business development efforts.
  • Executive Coordination: Act as the primary liaison between the CEO and internal/external stakeholders, including physicians, board members, and business partners. Prepare for and attend executive meetings, drafting agendas, taking notes, and following up on action items. Support the CEO in managing communication flow, ensuring that priorities and objectives are clear across the organization.
  • Team and Culture Development: Foster collaboration across departments to ensure alignment with the organization's mission and values. Assist in recruiting, onboarding, and retaining physician talent, as well as improving physician satisfaction and engagement. Promote a culture of accountability, operational excellence, and patient-centric care.
  • Administrative Management: Draft and edit presentations, reports, memos, and other documents as needed. Manage the CEO's calendar, scheduling, and travel arrangements. Serve as the gatekeeper and manager of information flow to the CEO, prioritizing issues and ensuring their resolution.


Qualifications

  • Education and Experience: Bachelor's degree in healthcare administration, business, or a related field (required). 5+ years of experience in healthcare management, operations, or executive support roles. Experience in physician services is highly desirable. Proven experience in project management, strategic planning, and cross-functional team leadership.
  • Skills and Competencies: Strong understanding of the healthcare industry, particularly physician services, practice management, and regulatory frameworks. Excellent organizational and multitasking abilities, with the capacity to prioritize and manage competing demands. Outstanding written and verbal communication skills, including the ability to influence and build trust across all levels of the organization. Analytical mindset with proficiency in data interpretation and financial reporting. Proficiency in office and project management software (e.g., Microsoft Office Suite, Asana, Trello).
